Reporting to the Manager, Human Resources, the incumbent will assist in the smooth execution of the full spectrum of HR functions, from recruitment to professional development. He/She will be a valuable team player who commits and contributes to the department, so as to meet the organisational needs.
MAJOR JOB RESPONSIBILITIES
General Administration
- Administer HRIS to manage access rights and module settings, as well as to update records
- Monitor and administer career progression including contract renewals, headship appointments, confirmation etc.
- Prepare contracts and monitor expiry of contracts to ensure timely renewal
- Ensure proper documentation of all employment
- Assist in the review of HR policies and procedures
- Assist in the review of HR checklists and forms
Recruitment
- Assist in the full spectrum of recruitment activities
Employment Legislation
- Advise staff members on the prevailing HR policies and procedures
- Liaise with government agencies such as MOE, CPF, MOM, WSQ, MSF etc, to meet legislations and regulations, and to seek government grants
- Apply, renew and cancel employment work passes
Employee Engagement
- Coordinate staff orientation
- Coordinate and execute school wide events and activities that promote overall staff well-being and professional development
- Regularly update staff portal to communicate new initiatives and general staff benefits
Payroll Administration and Budgeting
- Assist in the entire payroll process and ensure compliance with government regulations
- Administer onboarding and exit clearance matters
- Prepare monthly headcount reports, staff directory, and other ad-hoc reports
- Assist in HR budget preparation and tracking of budget utilization
- Assist in the yearly income tax submission for all staff and ensure compliance with any new regulations from IRAS
- Assist in participation of industry salary surveys and benchmarking exercise
Benefits Administration
- Assist in staff insurance claims and queries
- Administer all leave benefits and claims
- Assist in implementing HR initiatives and projects
- Liaise with insurance vendors for staff insurance matters
Performance Management
- Assist in staff performance appraisal exercise, from verification of data to arrangement of appraisal meetings
- Liaise with training providers to register corporate staff for external trainings
Others
- Support school-wide events and key activities
- Adhere to SOTA’s prevailing policies and procedures
Any other duties as assigned by Reporting Officer or Management of the School
JOB REQUIREMENTS
Education
- Diploma in Business or Business Management
Experience
- At least 3 to 5 years in a relevant capacity
- Hands-on in a diverse range of HR functions
- Familiar with database systems and HR processes
