SOTA: School of the Arts Singapore
Reporting to the Manager, Office of Student Affairs, you will assist with internal & external Bursary & various Financial Assistance Schemes ("FAS") administration and other daily operations of the Office of Student Affairs. In addition, you will be covering the frontline services on handling the student matters & queries on a rotational basis. 

Job Responsibilities

Student Services

On a rotational basis:

  • Perform day-to- day administrative and frontline services (handle phone calls and enquiries, leave of absence, addressing of enquiries, correspondence with parents and other stakeholders of the school, etc.)
  • Render first-aid to injured students

Student Administration

  • Maintain proper student records in the students’ P files pertaining to Bursary &  other FAS applications
  • Create, update and ensure accuracy of student records in MOE School Cockpit system and SMS
  • Assist in yearly student data verification exercise
  • Enter student daily attendance records into [email protected]

SOTA Bursary & Study Award Administration

  • Assist in collating bursary applications, ensuring financial documents completeness for evaluation
  • Responsible for data recording for approved & rejected applications
  • Assist in preparation of bursary letters, acceptance forms and GIRO forms for awarded bursary holders & rejected applicants
  • Preparation of food vouchers for eligible bursary holders
  • Assist in checking of SAF additional benefit payout to awarded bursary holders
  • Accurately and timely tagging of bursary package in Student Management System
  • Scanning and e-filing of bursary documents
  • Ensure bursary information in school website, student & parent portals are up to date
  • Administer laptop subsidy for bursary students
  • Provide students bursary status to internal stakeholders on a timely and accurately manner
  • Handling all queries pertaining to bursary and other financial assistance schemes
  • Track and prepare bursary statistics by academic year

Student Assistance Fund (SAF)

  • Responsible for the processing of SAF applications
  • Prepare outcome letters for successful & unsuccessful applicants
  • Handling of all queries pertaining to SAF
  • Track and prepare SAF statistics by academic year

​​MOE Award & External Financial Assistance Scheme

  • Administer MOE UPLIFT Scholarship
  • Assist in preparation of documents for reporting to MOE on awarded UPLIFT Scholarship holders
  • Administer and co-ordinate external financial assistance scheme such as Straits Times School Pocket Money Fund, CDAC & Mendaki including ensuring timely receipt of funders' funds for further disbursement to the approved students
  • Assist in preparation of documents for reporting to STSPMF, CDAC & Mendaki
  • Prepare payment request form for disbursement of funds to approved students

School Taskforce

  • Participate & contribute in assigned Taskforce

Others

  • Involve in the school events, e.g. Open Symposium, Open House, Awards Day, CPEP, etc
  • Assist other team members in their job areas when required
  • Perform other work-related duties assigned by the Manager or school management

Job requirements

  • Diploma or Degree, in any field
  • At least 2 years of working experience in student administration is preferred
  • Candidate with more years of relevant working experience may be considered for Senior Executive position
  • Relish the challenge of working in a student-centric environment and can perform under pressure
  • Student centric, resourceful, meticulous, independent and hands-on
  • Customer service or frontline reception experience
  • Good interpersonal and communication skills
  • Proficient in MS Office applications, particularly in Microsoft Word and Excel
