Temporary Staff - Venue Officer (Performing Arts Venues), Office of Venue Management

Provide administrative support to the Venue Sales team of Office of Venue Management and work with the team in promoting SOTA’s performing arts venues and gallery as a venue of choice for performances and events while adhering to SOTA’s prevailing policies and procedures. Act as a liaison between enquirers, hirers and in-house teams to coordinate recces, follow up on enquiries and hirers’ submission of necessary documents for the event bookings. A personable, detailed-oriented, dynamic and adaptable individual who meets deadlines and has strong administrative and interpersonal skills is likely to succeed in this role.

 

Job Responsibilities

 

  • Provide administrative support in venue sales processes while adhering to SOTA’s prevailing policies and procedures
  • Handle hotline and email booking enquiries regarding venue specifications, capabilities of all performing arts venues and gallery, schedule site recces or e-recces and meetings, consolidate the necessary documentation and information of the events for the in-house teams
  • Assist in the preparation of venue booking documentation, include generating of estimate drafts and consolidating the necessary information for the booking contracts
  • Arrange courier services for timely delivery of contracts and documents to hirers, and follow up with hirers on timely return of contracts and submissions of all necessary documentation by stipulated deadlines to ensure smooth transaction between the hirer and the venue
  • Prepare, cross-check and confirm show details, performance dates, and ticketing information of event listing for the SOTA website venue calendar
  • Adhere to SOTA’s prevailing policies and procedures
  • Accept any other duties assigned by Reporting Officer or Management of the School

 

Job Requirements

  • Diploma and above, or equivalent
  • Minimum 1 year of relevant experience in sales/ customer relationship/ event/ production management; experience in the arts and entertainment industry, live performance management in performing arts venues preferred
  • Familiar with policies and procedures in performing arts venues will be an added advantage
  • Excellent customer relationship management, communication, and interpersonal skills, including strong organisational and report writing skills
  • Possess positive and motivated personality with good initiative, and pro-active with a high level of commitment to meet deadlines
  • Strong team player, meticulous, analytical and resourceful with the ability to work independently
  • Able to multi-task and perform in a fast-paced environment and handle complex situations calmly and professionally
