SOTA: School of the Arts Singapore

Supporting the Office of Administration, the Executive will work largely alongside the Arts faculties to provide an efficient conducive and creative learning environment for staff and students of SOTA.The Executive will assist and support the various arts faculties with administrative and operational matters related to their teaching, school-related activities, and other responsibilities.

The Executive is the main communication channel for all members of the Arts faculties (permanent, part-timer or adjunct). He/She ensures timely dissemination of information to the faculties, reports to the faculties regarding schedule changes and any administrative matters relevant to them. The Executive should also have a spirit of helpfulness towards students and other SOTA staff.

The Executive will also perform any other duties within the department assigned by the Manger/Officer of Administration.

Job Responsibilities

  • Coordinator for SOTA Student Management System, ensure the administration processes such as subject registration, teaching group and assessment set up are carried out smoothly;
  • Coordinate with the Assessment Committee in the setup of assessment details in the system, collating curriculum-related information and schedules to be uploaded to the various portal;
  • Work the Exam Committee in exam-related activities such as generation of seating plan and student name list, preparation of exam stationary, etc;
  • Provide administrative support to International Baccalaureate (IB)- related matters, working with Senior Executive (Curriculum & Showcases) and IB Coordinator;
  • Provide administrative support in curriculum processes, including Subject Selection, Timetabling, update school email groups, generation of curriculum letters etc.;
  • Consolidate, seek approval and upload school holiday assignments and activities to student and parents' portal every term;
  • Coordinate matters related to Mother Tongue Languages with MOE, including access arrangement and update student data in school cockpit system where necessary;
  • Update monthly trip record for ad hoc bus services contract and liaise with vendor on payment matters;
  • Oversee print and distribution of Year 4 Certificates and Transcripts
  • Perform front-of-house duties for SOTA showcases and events, where required;
  • Provide secretarial support for Heads Meetings;
  • Support school-wide events and key activities, e.g Open House, Awards Day, etc;
  • Adhere to SOTA's prevailing policies and procedures;
  • Any other duties assigned by Reporting Officer, or Management of the School.

Job Requirements

  • Degree with at least 3 years of relevant work experience in school administration preferred.
  • Proficient in Microsoft Office Applications.
  • Meticulous, takes initiative, able to multi-task and work independently with minimal supervision.
  • Good interpersonal, analytical, problem solving, communication and organisational skills.
  • Able to lead projects assigned and coordinate with fellow team members in delegating work duties to achieve the deliverables on timely basis
  • Able to develop and maintain good relations with students and staff.
